Our Client

Our Client is a family owned hospitality retailer, with a strong franchised & company owned national presence, & global locations exceeding 200 stores. This business is on a growth trajectory across Australia (and the world!) with a very popular offering. 

The Role

Due to ongoing expansion, a new role as been created as Executive Assistant to support the Senior Leadership Team & ensure the efficient & effective operation of the Head Office, while supporting the business overall goals & objectives. This is a full time, permanent role which will be based in the Head Office in Mulgrave five days a week. 

Key Responsibilities:
  • Diary Management - manage and organisation of the director’s diary, daily, weekly, monthly and annual basis.
  • Email Management – review and organise the action lists, filing and follow up’s
  • Booking Meetings
  • Ensure meetings begin on time with material prepared and provided in advance.
  • Make travel arrangements for senior team, including itineraries when asked.
  • Electronic & Paper Filing and establish and maintain electronic filing system
  • Database Entry
  • Client & staff liaison - Be the first point of contact for clients, contractors and Franchisees.
  • Expense Reconciliation
  • Accounts Payable
  • Manage Franchisee enquiry, follow up potential franchisee’s and senior leaders
  • Ensure office is tidy.
  • Ad Hoc duties as required.
  • Help to resolve basic IT issues 
Skills Required
  • Two years experience in an administrative role reporting directly to upper management
  • Excellent written and verbal communication skills
  • Strong time-management skills and an ability to organize and coordinate multiple concurrent projects
  • Proficiency with office productivity tools and an aptitude for learning new software and systems
  • Flexible team player, willing to adapt to changes, and unafraid of challenges
  • Ability to maintain confidentiality of information related to the company and its employees
  • Bilingual in English & Mandarin (verbal & written) is preferred.
  • MUST HAVE full Australian work rights
